context

Karvon Logistics moves freight across Central Asia with a fleet of 120 vehicles. The dispatch office ran on phone calls, spreadsheets, and re-typed documents — heroic work that stopped scaling at around 40 orders a day.

the challenge

Automate the repetitive core of dispatch — assignment, paperwork, status updates — without forcing dispatchers into a rigid system that couldn't handle the exceptions that are daily reality in freight.

the approach

We shadowed the dispatch team for two weeks and sorted their work into 'rules' and 'judgment'. The rules became automation; the judgment got better tools. Dispatchers approve and override — the system never locks them out.

Waybills, contracts, and customs documents generate themselves from order data. Clients get status updates in Telegram automatically, which quietly eliminated the largest source of inbound calls.

the craft

The system integrates six external services — GPS tracking, an accounting platform, customs e-filing among them — behind one interface a dispatcher learns in a day. It has run without an unplanned outage since launch.
